Showing coordination
that fits your workflow.
RentSmart supports both in-person and self-access showings — giving you flexibility based on your team, your properties, and how you want to run the leasing process.
Your team shows the property. RentSmart handles the coordination.
With in-person showings, a member of your team meets the prospective tenant at the property. RentSmart manages the scheduling, confirmation, and follow-up — so your staff stays focused on the conversation, not the logistics.
Prospective tenants request a showing through the platform. Your team confirms availability. Confirmations and reminders are handled automatically.
Your team member leads the showing. This keeps you in direct contact with prospective tenants and gives you a chance to answer questions and assess fit in person.
Properties where personal interaction adds value — higher-end rentals, markets where you want to qualify prospects in person, or operations where self-access hardware isn't installed.
Prospective tenants access the property themselves. Your team stays focused on leasing.
With self-access showings, qualified prospective tenants receive a time-limited access code to enter the property on their own. No staff presence required. RentSmart coordinates access through integrated hardware — currently CodeBox.
Once a showing is scheduled, a time-limited access code is issued through the platform. The code works only during the scheduled window and expires automatically.
Self-access showings require CodeBox hardware installed at the property. Contact us to discuss the right setup for your portfolio before enabling self-access workflows.
In-Person vs Self-Access.
The right choice depends on your team, your properties, and your hardware setup. Both are supported in RentSmart.
From scheduled showing to validated profile.
Showings don't happen in isolation — they're part of the broader leasing workflow that ends with a validated tenant profile ready for your review.
Listing activated
Your vacancy is live with your screening criteria set. Prospective tenants can view the listing and request a showing.
Showing scheduled
The prospective tenant requests a time. Confirmation and reminders are handled by the platform — in-person or self-access depending on your setup.
Showing completed
The showing takes place. Interested prospective tenants build their reusable RentSmart profile and submit it to your listing.
Profile reviewed
You receive a validated profile matched to your criteria. You review it, make the leasing decision, and move forward.
Setting accurate expectations.
A few things worth understanding before choosing a showing workflow for your portfolio.
Self-access requires hardware at the property
Self-access showings only work where CodeBox hardware is installed and configured. If a property doesn't have compatible hardware, in-person showings are the right option. Contact us before setting up self-access workflows at a new property.
Showing workflows may vary by property and configuration
What works well for one property type or market may not be the right approach for another. Asset type, turnover frequency, and staffing all factor into the right showing setup. We're happy to talk through the best fit for your portfolio.
You remain responsible for property access and safety
RentSmart coordinates showing scheduling and, where applicable, access code issuance. You remain responsible for the safety and condition of the property during and after showings, regardless of which showing mode you use.
Both modes are free for owners and managers
Showing coordination — both in-person and self-access scheduling — is included in the RentSmart platform at no additional cost. Hardware for self-access showings is separate and sourced independently.
